Importing a list of members

Upload a spreadsheet and let the platform create or update the members in it.

Importing a list of members

  1. In Members, click the team the people should go into.
  2. Click Members at the top right and choose Import Members.
  3. Upload File: drag your file in, or click Select File; see Columns of an import file.
  4. Data Mapping: click Auto-match. Fields that are recognised are automatically put in place. Drag any remaining column from columns in File onto the right field. The counter shows how many mandatory fields are still open; it must be 0. Click Next.
  5. Preview: check the names and email addresses. Click Next.
  6. Import: check Team, and choose Skip existing members or Update existing members; see Existing members in an import.
  7. Click Start Import and wait until Processed equals Total.
  8. Check Failed, then click Close.

Columns of an import file

The import reads an Excel or CSV file. Two rules:

  • The first row holds the column headers.
  • Only the first worksheet is read. Put the members there.

Three columns are mandatory: Email, First name and Last name. The column names in your file do not have to match exactly; you link them to the platform's fields in the Data Mapping step.

Fields you can fill from the file:

A column that matches no field is left out of the import.

Existing members in an import

The platform recognises an existing member by email address. In the last step of the import you choose what happens with them.

Skip existing members imports only new people. Existing members stay as they are.

Update existing members creates new people and updates existing ones from your file. Three switches refine the update:

Keep existing values Only empty fields are filled; details already stored are not overwritten
Re-activate inactive members Inactive members on your list become active again
Move to selected team Existing members move to the Team chosen in this step

With Move to selected team off, existing members stay in the team they are in; the chosen Team then applies to new members only.

The result shows how many members were Created and Updated.
